What Is Real Estate Auction Software and How Does It Work?

Auctions Live / Software explained

Understand the tools behind the auction.

Real estate auction software helps agencies prepare listings, register bidders, run auctions and keep records. This guide explains how those tasks fit together, how the process changes between auction formats and what your team needs to do.

Before the auction Prepare properties and register buyers.
During the auction Run the chosen format and record bids.
After the auction Review results, records and recordings.

The short version

Quick answer: what does the software do?

Real estate auction software manages tasks before, during and after an auction. Depending on the platform, it can handle bidder registration, online bidding, livestreaming, presentations, auction records and more. Staff set up the sale and help buyers. For a live auction, the auctioneer calls the bids. For a timed auction, buyers bid online during a set period.

01 / THE BASICS

What is real estate auction software?

A property auction platform gives your team tools to manage the sale. Staff assign the auction settings. Buyers register, and staff manage bidder access. During the auction, the software can accept online bids and record bidding activity. Afterwards, staff can check the result and bid history.

Auction software serves a different purpose from property advertising or a CRM system. Advertising attracts buyers. A CRM stores client and listing information. A real estate auction system manages auction tasks. Some platforms import listings from supported CRMs, which can reduce the details staff need to enter again.

02 / FOLLOW THE WORKFLOW

How does real estate auction software work?

There are four main stages. The tools available at each stage depend on the platform and auction format.

From property setup to post-auction review
Stage What the team does What the software supports
Prepare Assign the property, select the auction format and check the website display. Listing setup, auction settings and supported website or CRM connections.
Register Review buyer details, manage approvals and explain how to take part. Registration forms, bidder lists and access controls.
Run Call or monitor the auction and help participants. Supported bidding tools, streaming, presentations and bid records.
Review Check the outcome, follow up buyers and find the records. Auction results, bidding history and recordings where streaming is used.

On smaller screens, scroll across to view the full workflow.

Before the first auction, run through these stages with a test property. Check that staff can complete their tasks and find the records afterwards.

03 / CHOOSE THE FORMAT

Does the workflow change between auction formats?

Yes. The venue, bidding process and staff controls change with the format. When choosing an online auction platform for property, check that it supports the formats your agency runs.

  • Onsite The auctioneer runs the auction at the property or another physical venue. Digital registration, online bidding and streaming can support the event. Staff need to test the venue’s internet connection if using these live tools.
  • Multi-Lot/In-Room Several properties are auctioned in order at one event. Staff prepare the order of sale and presentation. As each property comes up, the screen display and bidding controls need to match that property.
  • Virtual The auctioneer runs the live auction online. Buyers join remotely. Staff need to test buyer access, sound, picture and bidding controls before the event.
  • Timed Approved buyers bid online during a set period. Staff set the opening and closing times, monitor activity and help buyers. Check whether a bid near closing time extends the auction, and explain the closing process to buyers.

Auctions Live supports these formats. Confirm which tools and services are included in your agency’s setup.

04 / WEBSITE AND MEDIA

Where do streaming, recordings and presentations fit?

Auctions Live’s Interactive Website Widget is a component added to your agency’s website. It gives buyers access to upcoming auctions, registration links and live content. Check that the property details and links work on both phones and computers.

For livestreaming, check picture quality, clear sound and latency. Latency is the delay between the auctioneer speaking and the viewer seeing or hearing it. Test from a buyer’s device, and ask whether the bidder stream has a different delay from the public website stream.

Auctions Live’s product pages describe recording streamed auctions to the agency’s YouTube Live channel by default. Check how staff access the recording and download a copy. Confirm the file quality and how the completed auction and replay will appear on your website. Ask whether staff need to publish the replay or whether this happens automatically.

For multi-lot and in-room auctions, Prezo Studio lets staff create branded presentation templates and layouts. These show the property being auctioned on the venue screens. Before the event, check the order of sale, practise moving to the next property and make sure the text is readable from the audience seats.

05 / YOUR TEAM’S ROLE

What work still needs to be done by staff?

Auction software for real estate agents helps organise the work. Your team still needs to check property details, help buyers and operate the event. Decide who is responsible for each task:

  • Administrator: checks property details, registration lists and event settings.
  • Auctioneer or event operator: uses the controls for the chosen auction format.
  • Buyer support person: helps with access, registration and technical questions.
  • Agent or manager: checks the result and handles the agency’s follow-up.

One person may cover several roles. Have a backup plan for a lost internet connection or an absent staff member.

06 / WHERE AUCTIONS LIVE FITS

How does Auctions Live support this workflow?

The Auctions Live solution for offices and branches includes bidder registration, online bidding, auctioneer controls, website streaming and auction records. It also supports listing imports from selected CRMs. Ask the team to show which tools suit your auction formats.

In a demo, follow one property from setup through to the result and bid records. Include the staff who will use the system. Confirm the tools, training and support included in the quote.

A FEW USEFUL ANSWERS

Frequently asked questions

What should an agent understand before using auction software?

Know the auction format, the buyer registration process, who operates the controls and where the records are kept. Practise the staff and buyer tasks before using the system at a live event.

Does auction software replace the auctioneer?

In an auctioneer-led event, the auctioneer still calls the auction and uses the relevant controls. A timed auction uses a different process, with bidding over a set period. Learn the workflow for the format you are running.

Does auction software replace our CRM?

Auctions Live describes imports from supported CRM systems. Its auction tools handle registration, bidding, streaming and records. Ask which information transfers from your CRM and what staff still need to enter. Do not assume every system connects in the same way.

Can an agency use software for an onsite auction?

Yes. Auctions Live has an onsite auction solution. The agency can use the tools suited to its setup while the auction takes place at the physical venue. Check the registration process, buyer access and internet connection before the event.
