Property Archiving for Office Admins
We’re introducing a new Property Archiving feature, designed exclusively for Office Admins to better manage property listings while maintaining system integrity and audit history.
Overview
The Property Archiving feature allows Office Admins to safely remove properties (lots) from active operations without permanently deleting them. Archived properties are hidden from all live environments but remain accessible for administrative purposes.
Who Can Use This Feature?
This feature is restricted to Office Admins only.
- Office Admins can:
- Archive properties
- Unarchive properties
- All other users:
- Will not have access to these actions
- Will see disabled controls with guidance to contact an Office Admin
Key Features
- Archive Properties: Office Admins can archive properties that are no longer needed in active workflows.
- Property status is set to Archived
- Published status automatically changes to Draft
- The property is removed from:
- Upcoming and Past auction listings
- Multi-lot auction flows
- Widget/public listing pages
- Reports and APIs
- There are no View and edit actions for archived properties
- Unarchive Properties: Office Admins can restore archived properties at any time.
- Property returns to Active status
- It becomes visible again in listings, reporting, and APIs
- It can be reassigned and used in auctions
UI Update: Tab-Based Listing Management
To improve visibility and control, the All Upcoming section now features a redesigned tab structure:
- Assigned Tab: Displays all active properties that are currently assigned to auctions.
- Unassigned Tab: Shows properties that are not yet assigned to any auction and are available for use.
- Archived Tab: Contains all archived properties. Office Admins can also unarchive properties directly from this tab, making restoration quick and efficient.
This new layout simplifies navigation and gives Office Admins a clearer separation of property states.
Archiving Eligibility Rules
A property can only be archived if:
- It is a test property, OR
- It has never been assigned to an auction
- It has no bids recorded
- It has no bidder registrations
If any of these conditions are not met, the archive action will be blocked.

- Better organisation: Better organise listings with clear categorisation.
- Reduced clutter: Reduce clutter in active workflows.
- Improved auction integrity: Prevent inactive properties from affecting auctions.
- Reliable reporting: Maintain clean and reliable reporting.
What’s Not Included
- Permanent deletion of properties
- Archiving bidder registrations
- Archiving bidding history
